Position Function:
The Administrative Assistant will provide administrative support and coordinate the administrative function for the Global Center for Aquatic Health and Food Security (GCAHFS).
Salary Grade: 11

Anticipated Appointment Date:
September 2024.
Essential Duties and Responsibilities:
• Directs, supervises, and coordinates the administrative function of the office.
• Manages complex calendar for senior personnel and the unit; coordinates the logistics of unit functions and events.
• Coordinate and manage travel for unit personnel using University travel software and ensure adherence to University travel protocols.
• Assist with event planning and hosting virtual and in-person events.
• Gathers data for budget preparation and inventory reports, prepares or assists in the preparation of the annual budget, and procures supplies, furniture, and office equipment.
• Studies, analyzes, and recommends procedures and processes in order to improve continuity and simplify reporting
• Analyzes operating practices such as record keeping systems, office layout and performance standards to create new systems or revise established procedures; remain abreast of trends in administrative operations.
• Coordinates collection of and participates in the preparation of operating reports using word processing, spreadsheet, and database software.
• Develops summary reports, analyzes for administrator, and makes recommendations regarding findings.
• May assist with maintaining unit website and/or social media.
• All other duties as assigned.
Minimum Qualifications:
Education: High school diploma
Experience (yrs.): Four (4) years Directly related to the duties and responsibilities specified.
Substitution allowed:
Indicated education is required; no substitutions allowed.
When a candidate has the required education, but lacks the required experience, they may normally apply additional appropriate education toward the experience requirement, at a rate of one (1) year relevant education per year of required experience.
Preferred Qualifications:
• Bachelors’ degree
• Excellent interpersonal, verbal, and written communications skills
• Excellent organizational skills; ability to prioritize competing demands, manage multiple projects, and meet deadlines with attention to detail
• Experience working in a fast-paced environment
• Strong initiative/self-motivation and reliable follow through; requires minimal supervision
• Ability to work independently as well as in a team setting
Knowledge, Skills, and Abilities:
* Excellent written and verbal communication skills.
* Working knowledge of word processing, spreadsheet, and database software packages.
Working Conditions and Physical Effort
• Ability to lift 50-100lbs
• Extended periods of standing
