Performs property control functions including equipment location and tagging, data entry, and database management. Performs other related clerical and property management duties.

Salary Grade:  09

Essential Duties and Responsibilities:

1. Assists and responds to questions as they relate to acquisition, disposition, stewardship, and accountability of fixed assets.
2. Gather information such as descriptions, serial numbers, manufacturers, etc., on purchases of furniture and equipment in order to classify items and assign inventory numbers.
3. Print barcodes for university property. Disseminate to departments once a month.
4. Conduct audits of departmental inventories in order to locate items and verify that they have been recorded correctly.
5. Maintain inventory records and prepare periodic reports for internal and external reporting.
6. Act as liaison with University departments in relation to payments, discrepancies, and transaction processes.
7. Monitor and report monetary levels of transactions by department and reconcile balances of multiple asset categories for monthly reporting processes.
8. Reconcile balances of multiple asset categories for monthly reporting processes.
9. Receive requests for items to be disposed of; complete appropriate documentation and arrange for items to be picked up.
10. Operate word processor/computer to prepare computer generated documents and maintain data files.
11. Balance BANNER worksheets and purchase orders with cost allocations on acquisition cards insuring each item of inventoried equipment is assigned its true dollar value.
12. Assist with state inventory audits.
13. May participate in training sessions, seminars, and workshops to provide proper instruction to departmental personnel related to fixed asset procedures.
14. Perform related duties as assigned.

Minimum Qualifications:

1. High School diploma or equivalent.
2. One year related experience to duties specified.
3. Valid Driver’s License.

Substitutions
Any equivalent combination of related experience and/or education approved by the Department of Human Resources Management.

 

Knowledge, Skills, and Abilities:

Knowledge of inventory and property control procedures. Ability to follow detailed instructions. Knowledge of basic computer skills. Knowledge of procurement rules and regulations. Ability to gather data, compile information, and prepare reports. Ability to perform simple accounting procedures. Word processing and/or data entry skills.

Working Conditions and Physical Effort

No unusual physical requirements. Requires no heavy lifting, and nearly all work is performed in a comfortable indoor facility.

Routine deadlines; usually sufficient lead time; variance in work volume seasonal and predictable; priorities can be anticipated; some interruptions are present; involves occasional exposure to demands and pressures from persons other than immediate supervisor.

Job frequently requires sitting, reaching, talking, hearing, handling objects with hands.

Job occasionally requires standing, walking, stooping/kneeling/crouching/crawling, and lifting up to 10 pounds.

Vision requirements: Ability to see information in print and/or electronically.
