The Guest and Conference Services Coordinator is responsible for the oversight of daily operations for the Butler Guest House to include 16 residence halls for summer camp seasons, and will coordinate a one-stop-shop experience for University conferencing, and assist with the administration and leadership of summer camps, conferences and guest housing operations. The position reports to the Director for Business Operations & Guest Services.

Salary Grade:  13

Essential Duties and Responsibilities:

The following examples are intended as illustrations only of the various types of duties assigned to the position. The absence of specific statements does not exclude those tasks.

1. Working knowledge of work processes and timelines associated with summer camps, conferences, and guest housing for effective response to guest concerns.
2. Manage and coordinate all activities of the university’s ten- room hotel.
3. Point of contact for university’s one-stop-shop conference including conference housing, individual conference arrangements for lodging, dining, parking & transit, recreation, and meeting spaces.
4. Oversight of summer conference housing program including marketing, scheduling, and public relations.
5. Coordinate on-call staff schedules, procedures, selecting, and hiring of summer conference staff, scheduling, assignments, and billing for guests and conferencing.
6. Develop and distribute a conference calendar.
7. In coordination with leadership team, administer and negotiate housing contracts, accept deposits and payments for conferences and/or guest services group.
8. Generate reporting for management team as requested.
9. Coordinate and maintain adequate internal controls for summer and guest services operations, including such items as keys, funds, and access cards.
10. Assist with budget preparation to include rates and fees for competitive equity.
11. Serve on departmental, divisional, and/or university-wide committees, as needed.
12. Active involvement with professional associations for professional development.
13. Perform related duties as assigned.

Minimum Qualifications:

Bachelor Degree, Customer Service Focus
1 year working knowledge of job skills aligned to job description

Preferred Qualifications:

1. Three years of work experience with college student housing or higher education.
2. Demonstrated knowledge of project or event management.
3. Two years of work experience in Customer Service or related field.
4. Master’s degree in Customer Service Management or related discipline.
5. Demonstrated experience in supervision.

Working Conditions and Physical Effort

1. Work is performed primarily in a temperature controlled indoor facility.
2. Nature of work requires external imposed deadlines, may be on short notice with shifts in priority; accountability for success on major projects or areas of operation.
3. Job frequently requires sitting, reaching, talking, and hearing.
4. Job occasionally requires standing, walking, climbing or balancing, stooping, kneeling/crouching/ crawling, handling objects with hands, and lifting 25 pounds.
5. Vision requirements: Ability to see information in print and /or electronically.
