The Assistant Director of Event Management will oversee the comprehensive planning, coordination, and execution of all athletic department events. This role involves strategic leadership, ensuring exceptional event experiences, and maintaining high standards of operational efficiency. The Assistant Director will collaborate with various internal and external stakeholders to ensure successful event outcomes. This position will also serve as a primary advisor on event management protocols and handle complex issues related to event execution and logistics.

Essential Duties and Responsibilities:

1. Oversee the planning, organization, and management of assigned athletic events, ensuring that each event is well-coordinated and runs smoothly.
2. Lead the development and implementation of event management strategies and best practices to enhance the quality and efficiency of athletic events.
3. Collaborate with senior athletic department staff to align event management goals with the department's strategic objectives.
4. Ensure all events are planned and executed within budget.
5. Supervise the scheduling, staffing, and logistical arrangements for events.
6. Supervise event management team, providing guidance, training, and performance feedback.
7. Manage relationships with external vendors and partners to secure necessary event services and support.
8. Develop and implement training programs for event staff to ensure high levels of customer service and operational efficiency.
9. Serve as the primary point of contact for event-related inquiries and communications, ensuring timely and effective information flow between stakeholders.
10. Facilitate pre-event and post-event meetings with staff, vendors, and key stakeholders to review requirements, expectations, and feedback.
11. Oversee and manage emergency response protocols for events, ensuring the safety and security of all participants and attendees.
12. Quickly and effectively resolve any issues or challenges that arise during events, providing clear updates to senior leadership as needed.
13. Coordinate with the facility maintenance team to ensure all venues are prepared and maintained for events.
14. Address any facility-related issues that impact event operations, providing recommendations for improvements and repairs.
15. Prepare and present reports on event outcomes, operational metrics, and budgetary performance to senior management.
16. Perform related duties as assigned.

Supervisory Responsibility:
Assistant Coordinator of Event Management and Facility Operations and student workers.

Minimum Qualifications:

- Education: Bachelor's Degree in Sports Management, Sports Administration, Business Administration, Management or related field
- Experience: Two years

Substitution allowed for Education:
Any equivalent combination of education and/or experience approved by Human Resources Management.

Knowledge, Skills, and Abilities:

• Ability to work long and irregular hours.
• Excellent organizational, management, communication, and interpersonal skills.
• Ability to work in extreme temperatures.

Working Conditions and Physical Effort

- Regularly involves lifting, bending or other physical exertion.
- Often exposed to one or more elements such as heat, cold, noise, dust, dirt, chemicals, etc. with one to the point of being objectionable. Injuries may require professional treatment.
- Job frequently requires standing, walking, sitting, reaching, stooping/kneeling/crouching/ crawling, talking, hearing, handling objects with hands, and lifting up to 10 pounds.
- Job occasionally requires climbing or balancing and lifting more than 100 pounds.
- Vision requirements: Ability to see information in print and/or electronically.
