Coordinates and monitors various student admissions and enrollment functions for the Center for Distance Education. Provides administrative support for online admissions processes, ensuring the accuracy and efficiency of student records while fostering close collaboration with the university's Office of Undergraduate Admissions. Logs interactions and communications with applicants using Slate and other platforms. The position reports to the Assistant Director of Online Admissions & Enrollments with daily supervision from the Online Admissions Coordinator.

Salary Grade:  12

Essential Duties and Responsibilities:

1. Reviews and processes online admission applications and related documents, ensuring data integrity across systems such as Slate, Banner, Xtender, and Excel.
2. Logs and tracks applicant interactions using Slate, maintaining clear and organized communication records.
3. Provides frontline support to prospective and current students via phone, email, and virtual meetings, advising on admission requirements, application processes, and program options.
4. Monitors and manages the progress of applicant files to ensure all required documentation is received and reviewed promptly.
5. Collaborates frequently with the Office of Undergraduate Admissions to streamline processes, share best practices, and ensure consistent communication with applicants.
6. Communicates updates and changes to admissions processes or requirements to team members and department partners to ensure clarity and alignment.
7. Organizes and prioritizes workload to meet daily, weekly, and seasonal deadlines.
8. Serves as a liaison with university departments, including Undergraduate Admissions, to refer students accurately and facilitate resolution of issues.
9. Maintains and updates the admissions processing manual to reflect current policies and procedures.
10. Implements methods and procedures to enhance the operational efficiency and effectiveness of online admissions workflows.
11. Advises applicants and families on university policies, transfer credit processes, and financial aid resources, adhering to FERPA regulations.
12. Performs miscellaneous job-related duties as assigned.

Minimum Qualifications:

High school diploma or equivalent 3 years
Substitution allowed: Any equivalent combination of related experience and/or education approved by the Department of Human Resources Management.

Knowledge, Skills, and Abilities:

Proficiency with Slate, Excel, Banner, and Xtender.
• Strong organizational skills with the ability to manage multiple tasks simultaneously.
• Effective communication skills, both written and verbal, for in-person and virtual interactions.
• Demonstrated ability to collaborate with cross-departmental teams, primarily Undergraduate Admissions.
• Familiarity with university policies, accreditation standards, and FERPA.

• Work is primarily performed in an office setting.
• Minimal physical effort or risk.
• Ability to focus for extended periods without interruption.
