Provides administrative support in maintaining a general accounting system for a division, department, or other separately budgeted unit by performing a variety of accounting duties.

Salary Grade:  12

Essential Duties and Responsibilities:

1. Works closely with Sponsored Program Accounting and Office of Sponsored Projects as needed regarding asset expenditures for quick responses and problem resolution.
2. Setup and maintenance of system required to successfully navigate state and federal audits.
3. Assists with university record collection in the fixed asset management system for various reporting purposes including, but not limited to, fuel and maintenance reports.
4. Gathers data for budget preparation and inventory reports; prepares and/or assists in the preparation of the annual budget and other financial departmental processes.
5. Coordinates, assists, and supports annual reporting, records, and property audits.
6. Liaison with SP A representatives to secure documentation for resolution of discrepancies.
7. Prepares and reconciles financial records with university accounting records and maintains all records management in relation to and including sponsored awards.
8. Coordinate the sponsored awards annual and final property reporting requirements in conjunction with Sponsored Program Accounting.
9. Reconciles and assists with oversight/reconciliation of capital expenditures for the university including tracking sponsored purchased assets; maintains an efficient tracking system for balancing all sponsored purchases ,including subcontracts, to their respective budgets for reporting purposes.
10. Performs other related duties as assigned.

Minimum Qualifications:

Education: High school diploma

Experience (yrs.): 5 years directly related to the duties and responsibilities specified.

Substitution allowed:
Indicated education is required; no substitutions allowed.

When a candidate has the required education, but lacks the required experience, they may normally apply additional appropriate education toward the experience requirement, at a rate of one (1) year relevant education per year of required experience.

Preferred Qualifications:

1. Bachelor's degree
2. Background in accounting and/or sponsored awards.
3. Adaptable with working knowledge of Banner.

Knowledge, Skills, and Abilities:

1. Proficiency in the use of technology to support Receiving and Property Control.
2. Demonstrated ability of interpersonal, written and oral communication skills.
3. Ability to consult with and collaborate with all stakeholders for equipment and assets.
4. Ability to interact effectively and professionally with students, faculty, staff and administrators.
5. Knowledge of and adherence to professional legal, ethical, and professional standards endorsed the university via policies, procedures, and work rules.
6. Working knowledge of grants and contracts to interpret and apply knowledge to meet regulatory compliance, to include, but not limited to NASA, ONR, USDA etc.

Working Conditions and Physical Effort

1. No unusual physical requirements.
2. Requires limited lifting of files and records and nearly all work is performed in a comfortable indoor facility.
3. Frequent external imposed deadlines; set and revised beyond one's control; interruptions influence priorities; difficult to anticipate nature or volume of work with certainty beyond a few days; meeting of deadlines and coordination of unrelated activities are key to position; involves conflict-resolution or similar interactions involving emotional issues or stress on a regular basis.
4. Job frequently requires walking, sitting, reaching, talking, hearing, handling objects with hands.
