Coordinates, organizes and oversees events and communications hosted by or on behalf of the College of Arts & Sciences.

Salary Grade:  11

Essential Duties and Responsibilities:

1. Organizes and manages logistics of events, including designing promotional materials, mailing, and responses, managing websites, securing vendors, preparing event summaries, and coordinating committees and volunteer support services.
2. Assists in planning and executing functions including, but not limited to, workshops, field days, and short courses.
3. Determines needs for an event based on activities and estimated attendance to include making hotel arrangements, scheduling venues, transportation, books caterers, etc.
4. Maintains an events calendar and manages and adheres to the special events budget of the department.
5. May supervise lower graded staff and/or student employees.
6. Performs administrative support and technical support duties as required.
a. Assist the Director of Development with preparing campus visits for alumni, constituents, and friends of alumni.
b. Assist the Advancement Coordinator with donor and alumni communications.
c. Assist with the maintenance of the alumni and giving section on the College’s webpage.
d. Other duties as required.

Minimum Qualifications:

High school diploma
Four years directly related to duties and responsibilities specified above

Substitution of education for experience allowed at a rate of one (1) year relevant education per year of required experience.

Knowledge, Skills, and Abilities:

• Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
• Knowledge and understanding of meeting and event planning principles, requirements, procedures, and available resources.
• Skill in organizing resources and establishing priorities.
• Ability to develop, plan, and implement short- and long-range goals.
• Knowledge of conference facilities, technology, and equipment.
• Ability to create, compose, and edit written materials.
• Ability to investigate and analyze information and draw conclusions.
• Knowledge of finance, accounting, budgeting, and cost control procedures.
• Knowledge of public institution purchasing principles, procedures, regulations, and standards.
• Ability to perform complex tasks and to prioritize multiple projects.

Working Conditions and Physical Effort

Physical Requirements:
Occasional and/or light lifting required. Limited exposure to elements such as heat, cold, noise, dust, dirt, chemicals, etc., but none to the point of being disagreeable.

Externally imposed deadlines; set and revised beyond one’s control; interruptions influence priorities; meeting of deadlines interactions involving emotional issues or stress on a regular basis.

Job frequently requires traveling, sitting, reaching, talking, hearing, handling objects with hands, and lifting up to 10 pounds.

Vision requirements: Ability to see information in print and/or electronically.
