Responsible for verifying and documenting incoming shipments at the university receiving station, ensuring accurate delivery to departments, and maintaining corresponding records. This role establishes the point of obligation, liability, and accountability for goods received on behalf of the university and supports administrative and operational functions related to receiving and delivery.

Essential Duties and Responsibilities:

The following examples illustrate the types of duties assigned to this position. Similar or related tasks may also be required.
1. Unload incoming freight and inspect for damage, overages, or shortages.
2. Verify shipments against freight bills, packing lists, and purchase orders using BANNER Finance, Bully Buy E-Procurement system and electronic tracking systems.
3. Scan and log shipments according to established guidelines.
4. Document discrepancies in tracking systems and carrier documents; obtain carrier signatures for acknowledgment and coordinate with shipping clients.
5. Take digital photos of questionable freight and attach to electronic records.
6. Label packages for delivery zones and departments using tracking system-generated labels.
7. Prioritize time-sensitive shipments and coordinate expedited delivery with delivery crew.
8. Investigate misdirected shipments and assist departments in resolving post-delivery discrepancies.
9. Prepare reports including transaction volumes, discrepancies, and productivity metrics.
10. Maintain accurate inventory records and appropriately label surplus/disposal items.
11. Coordinate delivery schedules with delivery crew to meet established timetables.
12. Assist with salvage and e-waste, including item shelving, equipment loading, and disposal arrangements.
13. Keep warehouse and dock areas clean and organized.
14. Answer and route incoming calls, file receipts and related documents, and communicate with departments regarding issues, delivery status, and other concerns.
15. Operate university systems (e.g., BANNER, BullyBuy, TrackPad, etc) to retrieve necessary information.
16. Drive university vehicles to deliver freight as needed.
17. Perform other related duties as assigned.

Supervision:
• Received: Reports to a designated supervisor.
• Given: Coordinates activities of delivery crew as requested.

Minimum Qualifications:

1. High school diploma or equivalent.
2. One year of related experience.
3. Valid driver’s license required for positions involving vehicle operation.

Any equivalent combination of related experience and/or education approved by the Department of Human Resources Management.

Knowledge, Skills, and Abilities:

Duties require basic physical and mental skills and abilities, including:
1. Proficient use of computers.
2. Proficient use of office equipment.
3. Driving vehicles.
4. Proficient use of hand trucks, and pallet jacks.
5. Ability to follow detailed instructions and procedures with minimum supervision.

Working Conditions and Physical Effort

1. While performing the duties of this job, the employee is regularly required to stand; walk; use hands to handle or feel; reach with arms and hands; stoop, bend, or kneel; talk and hear.
2. The employee is regularly required to lift and/or move up to and frequently over 75 lbs.
3. Employees in this position are regularly exposed to fumes or airborne particles, and outside weather conditions.
4. The noise level is moderate
