Provides a variety of administrative, clerical, and customer service support functions for the Crosby Arboretum. Serves as a primary point of contact for visitors, staff, and stakeholders while ensuring efficient daily office operations. The position requires a strong commitment to teamwork, professionalism, and exceptional customer service in support of unit programs and activities.

Department Profile:

Mississippi State University’s Coastal Research and Extension Center in support of its Crosby Arboretum is seeking an Office Associate. The Crosby Arboretum is a public garden operated by the Mississippi State University Extension Service. It is dedicated to the preservation, study, and interpretation of native plants and ecosystems of the Pearl River Drainage Basin. The Arboretum serves as a center for environmental education, conservation, and outreach. Through Extension programming and community engagement, it supports Mississippi State University’s land-grant mission and promotes environmental stewardship.

May 2026. 

Essential Duties and Responsibilities:

1. Provides front-line customer service by greeting visitors, answering telephone calls, and responding to general inquiries regarding Crosby Arboretum programs, events, and services.
2. Performs a wide range of clerical and administrative duties including data entry, document preparation, filing, and records management.
3. Maintains office systems including calendars, scheduling, correspondence, and document tracking.
4. Assists with financial processes such as handling receipts, processing invoices, and supporting purchasing and travel documentation in accordance with university policies.
5. Coordinates and supports meetings, workshops, and events including registration, logistics, and communication with participants.
6. Maintains office supplies and assists with inventory tracking and procurement.
7. Serves as a liaison with university departments, vendors, and external stakeholders.
8. Assists with supervision, training, or coordination of student workers and volunteers as assigned.
9. Supports all staff within the unit as a collaborative team member and contributes to overall operational success.
10. Performs other duties as assigned.

Minimum Qualifications:

High school diploma or equivalent.
Two (2) years of experience in clerical, administrative support, or customer service-related duties; or an equivalent combination of education and experience. Experience with Microsoft Office.

Preferred Qualifications:

Associate’s or Bachelor’s degree.
Experience in a public-facing or customer service role.
Experience with university systems (e.g., Banner, Concur).
Experience supporting events, educational programs, or outreach activities.

Knowledge, Skills, and Abilities:

• Knowledge of general office practices, procedures, and equipment.
• Strong interpersonal and customer service skills.
• Ability to communicate effectively, both verbally and in writing.
• Ability to organize, prioritize, and manage multiple tasks.
• Ability to work independently and as part of a team.
• Proficiency in standard office software applications.
• Ability to maintain confidentiality and exercise sound judgment.
Experience with Microsoft Office.

Working Conditions and Physical Effort

Work is performed primarily in an office setting with frequent interaction with the public. Occasional support for events may require extended hours, including evenings or weekends. Duties may involve light lifting and extended periods of sitting, standing, or walking.
